DEPOSIT SCHEDULE
INITIAL DEPOSIT - $200 per person - DUE IMMEDIATELY
FINAL PAYMENT - Due January 8, 2023
e-DOCUMENTS - Available February 16, 2023
Cancellation: Once a partial or full payment has been made, cancellations must be submitted in writing via to Aria Travel Service @ info@ariatravelservicellc.com. Cancellation fees will be applied based on the date that the written cancellation is received and based on the following days prior to departure. Fees will be calculated as a percentage of the total amount received, excluding Travel Protection, previously assessed fees, and ticketed airfare. Cancellation fees will not be less than the initial non-refundable deposit.
All reservations, except where specified:
Up to 61 days prior to departure: $200 per person
60 to 31 days prior to departure: 50%
30 to 2 days prior to departure: 90%
1 day or less prior to departure: 100%
VACCINATION REQUIREMENT I understand that I and all travelers on my reservation must be fully vaccinated against the Covid-19 virus to be eligible to participate in this trip. This requirement will remain in place for all travelers and all reservations, regardless of age or eligibility and until further notice. I also understand that all travelers are responsible to comply with entry requirements for the countries that we will be visiting.
TRAVEL DOCUMENTATION I understand that it is my responsibility to obtain the correct travel documentation (passport, visa, identification) for the destination(s) to be visited. I understand that passports are required to be valid for at least 6 months beyond the date I return home from my trip.
TRAVEL INSURANCE ($209) I understand that I have been offered the option to purchase travel insurance. If I purchased supplemental Cancel For Any Reason (CFAR) benefit waiver, I must cancel 72 hours prior to departure to qualify for a travel credit under the terms of the program. I understand that, if selected, travel insurance coverage begins only after payment of the insurance premium. I also understand that if I desire to have pre-existing medical conditions covered as part of my travel insurance that I must add travel insurance to my reservation within 21 days of booking and be medically able to travel at the time of premium payment.
HOTEL & ITINERARY CHANGES I understand that the COVID-19 pandemic has impacted hotels, restaurants, museums and other services that comprise my tour program and that local regulations and restrictions, as well as staff shortages, may impact my tour program resulting in the potential for unavoidable hotel and/or itinerary amendments prior to my trip. I understand that Gate 1 will inform me of those changes as soon as reasonably possible and accept that hotels may be substituted with alternatives of an equal or higher standard and that itineraries may be amended to accommodate changing conditions.
AIRLINE TICKETS I understand that Gate 1 Travel will issue my airline tickets either at the time of booking for Instant Purchase Airfare, or at the time of full payment for Gate 1 Airfare. Once issued, airline tickets are subject to prevailing airline assessed change or cancellation fees. For cancelled airline tickets that are fully or partially refundable, Gate 1 Travel does not hold airfare funds and is not required to provide refunds until refunded by the airline. Gate 1 Travel is not responsible for penalties incurred for tickets, international or domestic, not issued by Gate 1 Travel, due to schedule and/or flight changes.
HAZARDOUS MATERIALS I understand that Federal law forbids the carriage of certain hazardous materials, such as aerosols, fireworks, and flammable liquids, aboard aircraft.
ITINERARY PACE I understand that escorted tours are active and may require walking over uneven surfaces or navigating steep steps or slopes. I understand that wheelchairs, walkers, scooters and service animals are not permitted on international escorted tours. I understand that tour participants with any form of physical disability, sight or hearing impairment, which may prevent readily understanding and following instructions provided by the Tour Manager, are required to provide notification prior to reservation and that Gate 1 Travel reserves the right to reject participation or remove any individual from a tour who has not provided such notification. Expenses, including cancellation fees and/or costs for alternate travel plans or to return home, will be the responsibility of the passenger.
CONSENT I understand that Gate 1 Travel collects personal information to enable the provision of tour services for this reservation including to process payments, provide the minimum required information to vendors delivering services, send documentation, convey important information pertaining to this trip, request feedback or evaluations of our services, send marketing communications to which I have subscribed, and that I am responsible to obtain consent to share personal information for all travelers on this reservation.
RELEASE FROM LIABILITY I have read the Terms & Conditions, the Release from Liability, Assumption of Risk and Arbitration Clause and understand the entirety of that document. I agree that my payment and subsequent acceptance of my travel documents constitutes my acceptance of those Terms & Conditions, the Release from Liability, Assumption of Risk and Binding Arbitration Clause. By checking this box, I agree to these Travel Terms & Conditions and Gate 1's Release from Liability, Assumption of Risk and Binding Arbitration Clause for myself, each member of my traveling party and any minor children accompanying me.
